Facilities and Reservations
We provide the organisations operating under us with different facilities they can use. The New Student House and Domma both have facilities for organising meetings, parties, academic dinner parties and sauna evenings. Some of the facilities can be reserved when needed, whereas for others, reservations are allocated during specific reservation rounds. Organisations operating under us can also apply for their own organisational premises. This guide includes information on the facilities we provide and how to reserve them.

Alina Hall
Alina Hall
Alina Hall is a suitable location for your organisation when you are planning academic dinner parties or other large parties. Alina features a well-equipped kitchen where it is possible to prepare a reasonably large menu. The sound system and light table of the hall help you keep the party going and the atmosphere high. Alina is located on the third floor of the New Student House. Organisations operating under us may reserve Alina Hall for their own use during the reservation rounds that are held twice a year. Alina is very popular, which means that you will need to be alert when the rounds take place!

Equipment
When you reserve Alina Hall, the reservation includes the hall itself, a kitchen and a lobby. The hall has tables and chairs for an 80-person dinner party and also features loudspeakers, a mixer and lighting equipment. The kitchen has two stoves and ovens, a coffee maker, a kettle, a heating cabinet, a fast dishwasher, a fridge and a freezer.

Accessibility
The space is accessible by lift. The doorways are narrower than 90 cm in some places, so the space is not fully accessible. There is an accessible toilet.
The premises have a wheelchair that can be borrowed as well as the opportunity to use an induction loop that can be borrowed from our Services Office.
Theatrical smoke is not used in Alina, but blinking lights may be used.
It is possible to bring an assistance or guide dog into the premises.

Further information
The premises can accommodate 80 people for academic dinner parties and 100 people for other types of events. To ensure the safety and smooth flow of parties organised in Alina, there must be four security persons in each event and at least one of the security persons must have attended the annually organised user training for Alina. We require the security persons to sign an agreement that is returned to our Services Office when collecting the keys.

Meeting facilities
Does your organisation need a meeting room to organise a seminar or your autumn meeting, for instance? We provide organisations with meeting facilities that can accommodate even larger groups. The facilities are located in the New Student House and Domma, and all facilities feature the usual meeting technology as well as a coffee maker and a kettle.

Space for around 25 people in Domma. Leppäsuonkatu 11, 1st floor. The facilities are accessible for wheelchair users.

Wilhelmsson Hall
Space for around 60 people in the New Student House. Mannerheimintie 5, 5th floor. In addition to a projector, Wilhelmsson features a whiteboard and a speaker’s stand. The space is accessible by lift. The doorways are narrower than 90 cm in some places, so the space is not fully accessible. There is an accessible toilet.

Attic sauna Sivistys
Attic sauna Sivistys, located over the Töölö rooftops, is the perfect place for all kinds of occasions: summery academic dinner parties, Christmas parties, cocktail events, sillis breakfasts and sauna evenings! Besides the sauna and a lounge, Sivistys has a large glazed terrace where you can organise an academic dinner party for as many as 40 people.

Equipment
Sivistys has sauna facilities, including dressing rooms, a small kitchen, a lounge and a large, covered and glazed roof terrace. The kitchen features a microwave, a coffee maker, a kettle, a fridge and a dishwasher. The lounge has coolers and a television, whereas the terrace has tables and chairs for a dinner party for around 40 people.

Accessibility
Sivistys is located on the top floor of Domus Gaudium and can be accessed with a wheelchair by elevator. There is one threshold at the door. The premises have an accessible toilet. Theatrical smoke or blinking lights are not used in the premises. It is possible to bring an assistance or guide dog into the premises.

Sivistys can accommodate around 40 people. You need to bring your own towels to go to the sauna.

Organisational premises
Organisational premises
We also provide organisations with premises for more permanent use. In their own premises, organisations can freely organise activities that reflect their own nature. Some wish to offer their members a collective living room where their members can spend time together, while others need flexible multipurpose facilities for various events. The organisational premises are located in the New Student House and Domma, and organisations can apply for them during the allocation process for premises organised every other year. In the allocation of premises, the organisational premises are always allocated to organisations for two years at a time.

How can I reserve facilities?
Meeting facilities can be reserved by sending email to toimisto@hyy.fi. Organisations can have five open reservations to facilities at any given time.

Where can I see the facilities’ booking situation?

How do I get the keys for the facilities I have reserved?
Keys for reservations taking place on weekdays are collected from the Services Office during its opening hours on the day of the reservation. For reservations during the weekend or on a public holiday, the keys must be collected by 3 pm on the previous working day.

Where and when do I return the keys?
The keys are returned to HYY’s Services Office by noon on the first working day after the reservation.

How should the facilities be cleaned after use?
You must ensure that the facilities are suitably clean and the trash taken out after use. Additional instructions on cleaning Alina Hall can be found in Alina’s instructional booklet.

How is the user fee for the premises paid?
The user fees for Alina Hall and Sivistys are paid at our Services Office when collecting the keys. Card is the only accepted payment method.

Can I organise private events such as birthdays and graduation parties on HYY’s premises?
Our facilities are meant to be used by organisations operating under us, which unfortunately means that private events cannot be organised in them.

We organise an extensive allocation of organisational premises every other year. Applying for premises for your organisation is possible during this process. In addition to this, we organise a supplementary allocation process twice a year. We announce all allocation processes both in our newsletter for organisations and on our website.

Can we buy furniture for our own organisational premises?
Absolutely! You can furnish the organisational premises granted to you in the allocation of premises to make them truly reflect your organisation.

Our organisational premises follow the principles of safer space, which are drafted in cooperation with all organisations that use the same premises.
