Application form for organisation premises is open

HYY is allocating organisational premises for 2024–2026. All organisations that operate under HYY and have filled in the contact details form may apply for the premises.

To apply, organisations need to fill in the application form and the survey on the use of premises. The survey on the use of premises closed on 30 April. Filling in the survey is a requirement for applying for premises for the 2024–2026 allocation period. Organisations that have filled in the survey will be sent a link to the application form for premises.

If your organisation did not fill in the survey on the use of premises by 30 April, please contact Chair of the Financial Committee Casper Enckell immediately.

The application form for premises is open until 11.59 pm on 31 May. Deficient or late applications for premises will not be processed.

Info session at 3 pm on 23 May in Wilhelmsson

We are organising an info session on the allocation of premises for organisations. During the session, we will go through the process of the allocation of premises, while you can also ask us questions related to the allocation. The info session will be organised at Wilhelmsson Hall on the fifth floor of the New Student House.

Please note that the event has been moved from 18 May!

Applying for premises

If your organisation belongs to a larger entity such as a faculty organisation, you still have to apply for premises. To be clear, all organisations using the premises need to apply for HYY’s organisational premises regardless of whether they are applying for the premises together with some other organisation or not.

The following matters will be taken into account when allocating the premises

  • The extent and coverage of the organisation’s activities among HYY’s members
    The suitability of the premises for the organisation’s activities
    The organisation’s chances of getting premises suitable for its activities for free from elsewhere
    The organisation’s need for operating space
    The way the organisation has looked after its premises
    The way the organisation has acted in its premises
    The opportunity to operate in the premises using the organisation’s own language, if desired
  • Schedule for the allocation of premises

  • 3 April: Survey on the use of premises opened
    29 April: Survey on the use of premises closed
    10 May at 12 noon: Application form for premises opens
    31 May at 11:59 pm: Application form for premises closes
    Late or deficient applications will not be processed
    13 June: The Financial Committee makes a preliminary decision on the allocation of premises
    1–30 July: The Financial Committee’s initial proposal is circulated for comments among the organisations
    14 September: The Financial Committee meets to approve the initial proposal, which is then submitted to HYY’s Board for approval
    21 September: HYY’s Board decides on the allocation of premises
    1 January 2024: The allocation of premises takes effect

 

 

FAQ

WHAT PREMISES CAN ORGANISATIONS APPLY FOR?

Organisations may apply for premises from Staircase A in the New Student House, Domus Gaudium and Mechelininkatu 3D. The premises available at the New Student House are mainly the same as during the previous allocation period, although the lift renovation has caused some changes in toilet facilities in particular, while some rooms have been taken out of use.

WHAT IF MY ORGANISATION IS NOT CURRENTLY USING HYY’S PREMISES? DO WE STILL NEED TO FILL IN THE SURVEY ON THE USE OF PREMISES?

In case your organisation has been accepted to operate under HYY and you have filled in the contact details form for organisations, number of members and the basis of calculation for the number of members, you may fill in the application form and apply for organisational premises. In such situations, you do not have to fill in the survey on the use of premises.

WHAT IF WE ORGANISED A LOT OF JOINT EVENTS LAST YEAR? HOW DO WE ENTER THESE INTO THE SURVEY ON THE USE OF PREMISES?

Agree on who marks each event as their own among the organising parties of the event. This helps us avoid double events.
