5 Picnic for organisational actors on June 8

Come and spend an easy-going summer day on a picnic with other organisational actors. All currently active organisational actors, regardless of how long they have been involved, are welcome to join us at out picnic blankets – and the alumni of the Student Organisations Committee are also extremely welcome!

6 For premises users: Financial Committee premises inspection May 21st at 1-4 pm

The Financial Committee makes an inspection in all HYY organisational premises on May 21st, from 1 to 4 pm. The committee will inspect the condition and cleanliness of the premises.

7 Join in to develop the Associations Act and facilitate civil society activities!

A working group of the Ministry of Justice is currently examining how the operating opportunities of associations and other civil society actors could be improved and increased. The objective is to promote civic engagement and develop more lightly regulated modes of operation.

To identify the current challenges and possibilities and to come up with new alternative solutions, information will be collected from associations and other civil society actors through a survey during spring 2019. The aim is to reach as wide a range of different actors as possible.

In the first stage, you can participate in the information gathering, make suggestions about things to be improved, and express your opinion on the suggestions already made by responding to the survey. The purpose of the survey is to collect information and chart what kind of needs to develop the current legislation and practices there exist.

8 Apply for furniture purchasing grant!

HYY supports furniture purchases for interior decoration in organisational premises. The grant is intended for organisations which primarily operate on HYY's premises and the grant is mainly directed to the purchasing of tables, chairs, cupboards with locks and other interior items. The aim is that the furniture would increase the cosiness of the organisational premises and the willingness of organisations to look after their premises even better.

When allocating the furniture grant, we pay attention to the following: the ecological aspect, sustainability and necessity of the purchase. The furniture grant is not supposed to cover the entire purchase price but organisations are also expected to participate in the financing of the purchase.

In spring 2019 approx. 1500 € of furniture purchase grant will be given out. 

This grant has no deadline. It can be freely applied for through the specialist of organisational affairs when necessary. You can apply for the grant with an informal application, which should include the following information: 

- applying organisation/organisations 

- applied furniture  

- budget

- reasons for the purchase 

Applications can be submitted by e-mail to jarjesto(at)hyy.fi or by mail to the Student Union of the University of Helsinki, PL 1099, 00101 HELSINKI. Organisations that receive the grant must provide copies of the receipts to the same address no later than within four months after the allocation of the grant.

The Student Union of the University of Helsinki (HYY) has awarded a total of €174,000 of operating grants to organisations operating under it. The grants have been awarded based on the information the organisations have provided on their activities. When awarding the operating grants, HYY has taken into account the number of the organisations’ members, events and participants in the events as well as the nature of the organisations’ activities. A new model for allocating the operating grants was used in the allocation of the grants.

By awarding operating grants, the Student Union aims to secure the operating conditions of the organisations and to encourage them to develop their operations to become more open, diverse and equal, among other things.

In general, the allocation of operating grants went well. However, the size of the grants awarded to a few organisations decreased because they had neglected to submit the requested documents. The size of the grants of organisations that did not fulfil the requirement of having a minimum of 50 per cent of their members be members of HYY was also reduced.

A feedback session on the operating grants will be organised at 5.00 pm on Wednesday 24 April in meeting room Sparre at the Central Office in the New Student House. In the event, you will have the opportunity to ask members of the Financial Committee about changes in the grants.

In case your organisation will not be able to participate in the event in question, you can also contact Chair of the Financial Committee Linda-Liisa Kelokari (email linda-liisa.kelokari (a) hyy.fi) regarding the grant you were awarded.

The advance payment of the operating grants has been paid to the account the organisations have reported through TAHLO. The advance payment is paid to organisations that have received an operating grant of more than €170 in 2018. The size of the advance payment is one third of the operating grant the organisation received in the previous year.

4 Does your organisation want to make some money on May Day?

Now there is a good opportunity to do an eco action and to fill the coffers of your organisation! HYY declares a competitive bidding for organisations for cleaning Ullanlinnanmäki after May Day.

The organisation must commit to provide the full contribution of at least ten people. Cleaning will take place on Wednesday 2 May, approx. From 7am to 2pm.

Bids by 10 am Tuesday 16 April to Riikka Hakala (riikka.hakala(a)hyy.fi). If two organisations make the same bid, the organisation who made the bid first will win. The organisation with the best bid will be contacted on Tuesday 16 April.

Flora’s Day, the joint springtime celebration of the students and staff of the University of Helsinki, is celebrated at 4–8 pm on 10 May 2019 on the City Centre campus, in the yard of the Faculty of Social Sciences and the premises of the Swedish School of Social Science. HYY is organising a basic course for security stewards this spring. The first twenty applicants who are of age will get to join HYY’s terrific security steward team! The course is provided by HYY in cooperation with Ropecon ry, and it is organised in Helsinki on 25–31 March 2019. The training lasts for 40 hours, and those who complete the course may apply for a security steward licence from the police.

Reservation rounds for Alina Hall for autumn 2019 begin with an advance reservation round at noon on Monday 11 March. There are three (3) reservation rounds in total, and organisations can get a total of two (2) reservations during the rounds. Organisations should review the instructions for each reservation round carefully before filling in the form for reservation requests. An incorrectly completed form may negatively affect an organisation’s chances of receiving reservations.

6 Allocation process for Alina reservations has been reformed!

In its meeting on 14 February, the Student Organisations Committee has decided to reform the allocation process for Alina reservations. The allocation process was previously conducted in the committee’s meetings which were open to the Student Union’s members. However, conducting the allocation process in a meeting was considered too burdensome and unnecessarily rigid.

In the future, the allocation process will be conducted by a working group established by the committee! The working group includes HYY’s specialist in organisations, the member of HYY’s Board in charge of organisations and two members of the Student Organisations Committee named in advance. The event will continue to be open to all members of the Student Union – anyone interested is welcome to take part in the allocation event! The principles for allocating the reservations are still fairly mechanical, but the event itself is now more relaxed, and the committee meetings can be reserved for processing other matters.

The allocation events will be held in meeting room Topelius in HYY’s Central Office on the Monday after each reservation round. A more detailed schedule is available below.

7 Come plan HYY’s Community Development Committee’s activities together on 12 March!

Do you have an idea of something that should be improved or developed in the HYY community urgently? Come plan HYY’s new Community Development Committee’s activities for the year 2019! Whether you are your organisation’s equality responsable or otherwise interested in making communities better, welcome! This event is open to anyone who’s interested!

The year 2019 is the Community Development Committee’s (also known as Code) first year of operating so what the committee will actually do is truly a blank canvas! Do you have an idea of something that should be improved or developed in the HYY community urgently? What kind of issues do you wish Code to focus on this year? Or maybe you have an amazing concept for an event or activities you think is perfect for the committee? Come share your ideas and work on them together to come up with what the Community Development Committee will be doing during 2019! Whether you are your organisation’s equality responsable or otherwise interested in making communities better, welcome! This event is open to anyone who’s interested!

The event is held at meeting room Barricade (Mechelininkatu 3 D) 12 March starting at 5 PM! The purpose of the evening is to brainstorm ideas for Code’s activities and work on previous ideas some more. The committee’s action plan will be formed based on the results of the Action Plan(ning) Evening. There will be some snacks at the event.

The purpose of the committee is to promote participation, equality and equal opportunities to participate and influence matters in the Student Union and by doing so to increase the sense of community within HYY, the university community in Helsinki and the City of Helsinki. Our aim is to make HYY a more inclusive and open community. The committee’s primary language will be English, but you can also join the meetings in Finnish. No one’s language skills should prevent them from joining – we aim to ensure that everyone can participate in all our activities regardless of language.

Accessibility information: The event is organised in the meeting room Barricade (Mechelininkatu 3 D, basement floor). The space is accessible by wheelchair. There is a gentle ramp to the door and three thresholds when entering. The meeting room is on the basement floor of the building and is accessible by elevator. There is an accessible bathroom that is also accessible by elevator.

8 Environmental training for organisations

HYY’s Environmental Committee is organising the first environmental training session of the year. The training session will feature both practical tips and larger-scale instructions towards more environmentally friendly organisational activities. The training session is aimed at the persons in charge of environmental affairs in organisations, but others active in organisations as well as members of the organisations’ boards are also welcome to join! 

The training session is held at 5 pm on 21 March in meeting room Topelius in the New Student House, and there will, of course, be some vegan snacks available. After the training session, participants are also free to stay and enjoy an environmentally themed movie night open to all HYY’s members!

The reservation rounds for Alina Hall’s autumn season start soon. There will be two actual reservation rounds in the spring, with an advance reservation round organised as well. During these rounds, organisations may get a total of two (2) Alina reservations for autumn 2019. The reservations are made on the separate electronic forms of each reservation round. Application forms will be published here later.

Each organisation making a reservation must complete the user training for Alina Hall during the current year. The training must have been completed before the organisation’s reservation takes place. User training for Alina Hall will be organised again in early autumn, and we will inform you about it later. If an organisation does not participate in the training, their reservation will expire.

Advance application round

During the advance reservation round, organisations have the opportunity to apply for a reservation in advance before the actual reservation rounds begin if they have a well-justified reason to apply for a specific day. The advance reservation round thus covers occasions such as anniversaries, anniversary afterparties and events connected to a specific date. The criteria for the allocation of the advance reservations will be decided in the committee’s meeting on 5 March, and the criteria will be announced in connection with the reservation form.

In case an organisation is granted a reservation to Alina Hall in the advance reservation round, it CANNOT apply for a reservation in the first actual reservation round. Instead, the organisation can get its second reservation only during the second actual round.

Actual application rounds

Reservations are made in two rounds. During each round, an organisation may apply for one reservation to Alina, unless it has been granted a reservation during the advance reservation round. Organisations should check which time slots are free at a given time from the Student Union’s electronic calendar at http://tilavaraus.hyy.fi. Applying for days that have already been reserved may negatively affect the organisation’s chances of acquiring a reservation. Organisations may only receive one (1) reservation on each round, but it is a good idea to state several options for suitable dates in the form.

Decisions on the reservations are made after each reservation round by HYY’s Student Organisations Committee together with the person in charge of organisations in the Board and the specialist in organisations in an allocation event open to the Student Union’s members. The contact persons of organisations applying for a reservation must be reachable when the reservations are allocated in case a need to contact the organisation arises during the allocation process.

Incomplete or late applications will not be processed. If there are clashes in the dates that have been applied for, we will strive to provide all organisations with one of the dates they requested. In case this is not possible, the recipient of a time slot applied for by several organisations is decided by drawing lots. Organisations should consider alternative dates in case their original reservation requests clash with the requests made by other organisations.

2 Tuning Day 2019

Do you want to develop yourself as an organisational actor? Would you like to get some tips and inspiration for tuning your organisation and making it even better? Join us at HYY’s Tuning Day to receive both training and inspiration!

Tuning Day is held at the City Centre campus on Wednesday 27 February 2019. It is a training event for all organisational actors and features a variety of training sessions – you will get lots of chances to learn something new whether you are active in a hobby organisation, a student nation, a subject organisation or a faculty organisation!

6 Info session on operational grants for organisations

On what grounds does HYY decide the amount of money my organisation receives?

Come to hear more about the allocation of organisations’ operational grants and ask any related questions in Wilhelmsson Hall on Friday 22 February from 5 pm to 6 pm.

The info session will include information on the principles according to which the grants are allocated, how the allocation of operational grants is conducted and how you can attempt to increase the grant your organisation has received. This year we have a new updated model for allocating the grants.

8 HYY <3 the Finnish National Theatre: Yhdestoista hetki - tickets to HYY’s members only €2!

The Student Union of the University of Helsinki is cooperating with the Finnish National Theatre to organise a special advance showing of Yhdestoista hetki (‘the eleventh hour’) to HYY’s members at a price of €2 per ticket (normal student price is €22)!

These tickets are meant for all members of HYY, which makes this the perfect time to organise your organisation’s first excursion to the theatre this spring!

Yhdestoista hetki for HYY’s members at 7.00 pm on 27 February 2019 on the Main Stage of the Finnish National Theatre.

The Student Union can annually allocate operational grants for its organisations which are intended for supporting regular organisational activities. However, the purpose of the operational grant is not to finance all expenses caused by organisational activities but organisations are expected to be active in funding their own operations by collecting a membership fee, for example.

Allocating the grant is primarily based on the activities of the organisation which are evaluated based on the attachments delivered with the application. In addition to activities, the number of members, the management of finances and the need for support are taken into account. The Finance Board of the Student Union annually approves the conditions for allocating and using the operational grant. 

The operational grant is applied by filling the application form "TAHLO" (=  abbreviation for Toiminta-Avustuksen HakuLOmake, application form for operational grant) at tahlo.hyy.fi. If you have lost your username or password, contact the specialist for organisational affairs. The deadline for the application is Mar 1 2019.

Welcome to the HYY’s Chairpersons’ Seminar on the 29th of January! The seminar gathers chairpersons from all various organisations operating within HYY, offers support, new ideas and tools to make your year as chairperson as good as possible. All chairpersons and vice-chairpersons from all the organisations operating within HYY are welcome to the event.

The event begins at 5 pm with a common session and a little snack at the Alina hall (New Student House,  3rd floor). After the common session each participant will take part in two workshops of their choosing. Each workshop will last 50 minutes with a small break in-between. After the workshops we’ll eat and close the official part of the event. Afterwards we’ll continue the evening with a relaxed afterparty.

 

The event will be mostly in Finnish, but the workshops can also have English speaking groups (please choose the option in the sign up form) and we will do our best to help you follow the event.

WORKSHOP 1: Chairperson's ABC

The basics of being a chairperson. What are the minimum requirements that the chairperson should know? Which things should be done in the beginning of the year? Where can you get help and support?

WORKSHOP 2: Meeting practices

No more confusion or frustration about meeting practices! Here you’ll hone your skills and after the workshop you will excel in running meetings.

WORKSHOP 3: Documents as a superpower!

Does your organization only write documents to please HYY? Not anymore! Through this workshop you will be able to realize how to use your documents as assets for your organization.

WORKSHOP 4: Yes, we can!

Tips and discussion about how to make sure your volunteers can keep going for all of the 365 days.

 

WORKSHOP 5: Team building and motivating

In organizations team building and motivating are the things that pretty much determine what the year will be like for the board. In this workshop we practice and generate ideas for creating a functioning board and keeping them motivated throughout the whole year.

 

WORKSHOP 6: Towards new horizons – leadership in transformation

Do you want to take your organization to a new direction? How to lead the transformations in your organization both when operations are developing and when they are changing? In this workshop you’ll get tips to successful transformation and training on leadership in the middle of transformations.

All organisations wanting to use the Alina Hall during the spring must send at least one representative to the Alina Hall training. The organisation must have taken part in the training in order to use their Alina reservation, this will be checked when handing the keys for the premises. All organisations must participate in the training each calendar year and at least one person appointed as a security person in each event organised at the Alina Hall must have participated in the training within the last year. It is highly recommended that several people from one organisation take part in the training. Each participant must sign up by filling out this form. You may represent only one organisation for the training.

The trainings are held at the Alina Hall, on the third floor of the New Student House (Mannerheimintie 5 A). There will be trainings in Finnish, Swedish and English, so please pay attention to the language options for the date you pick and take notice of the different times as well. The training lasts about an hour. The dates for the trainings are:
